Executive Assistant
Kent Town, Full Time

About the Role

As part of our Executive Administration team, you will play a key role in providing high-level professional support to ensure the efficiency of administrative processes and day-to-day operations. Reporting to the Chief of Staff, you will work closely with our Chief Operating Officers – Employment & Education and Community Services – and occasionally support other Executives.

This role is ideal for someone who enjoys variety, is flexible in approach, and is willing to ‘lean in’ to provide hands-on support to the Chief Operating Officers, helping them stay organised, focused, and on track to achieve the strategic commitments and priorities of the organisation, while also contributing across executive support, head office operations, events, stakeholder engagement, and front-of-house functions

This is a permanent full-time role based at our Kent Town Head Office.


What You’ll Do

  • Provide proactive diary management, organising appointments and coordinating meetings, events, and speaking arrangements to meet timelines and competing priorities.
  • Prepare agendas, presentations, briefing notes, and materials for meetings and events.
  • Assist the Chief of Staff and Executive Team with administrative and logistical support, including travel, correspondence, and financial administration.
  • Backfill and provide front-of-house support, handling calls, emails, enquiries, and visitors in a professional manner.
  • Support organisational events, presentations, and stakeholder engagements.
  • Build professional relationships and interact with staff, stakeholders, and suppliers with professionalism and courtesy.

About You

  • While Executive Assistant experience and background are desirable, it is not necessary to have held a formal EA role; what’s most important is strong transferable skills in administration, organisation, coordination, time management, problem-solving, and communication that can be applied to support the Executive Team and broader organisational functions
  • Highly organised, able to prioritise multiple tasks and meet deadlines.
  • Confident, adaptable, and proactive, with a willingness to support across all areas of the organisation.
  • Strong interpersonal and communication skills, with emotional intelligence and a professional approach.
  • Comfortable handling confidential information with discretion.
  • Professional presentation and the ability to represent the Executive Office and Organisation.

Key Requirements

  • Willing to complete a Working with Children Check and National Police Check.
  • Eligible to work in Australia.

Desirable

  • Experience in administration, coordination, or support roles.
  • Knowledge of the not-for-profit or community services sector.
  • Understanding of government structures and processes.
  • Current driver’s licence and willingness to travel if required.
